CLASS POLICIES

Who is a resident? - All persons who reside within Gaithersburg's corporate City limits are residents. Montgomery Village is not within the City. Nonresidents are invited to register at a higher fee (additional $7 for most classes).

Notification - If the class you registered for is full, you will be notified. Otherwise, you may assume you have been accepted and attend the first class. Many classes quickly fill to capacity. In other cases, classes are cancelled several days before the starting date if they appear to be under-enrolled. Therefore, please register during the registration period to allow for efficient organization of the classes.

Enrollment - All students enrolling in preschool and youth classes should be the age indicated by the start of the class. Department of Parks, Recreation and Culture reserves the right to remove any participant from a class who is not of proper age, maturity, skill level or who inhibits the progress of the class or its members in any way. In this case, refunds will be issued for remaining classes. Signature of parent or guardian is required for participants under 18 years old.

Senior Citizens - City residents age 55 and older are invited to register for most classes at a special rate of $35 per class, with the exception of the Arts Barn classes, Aquatic classes, and Water Exercise classes. The senior discount cannot be pro-rated.

Refunds - Will only be made when classes are cancelled due to insufficient registration. Withdrawal requests received less than seven days prior to the start of the program for a refund of monies are subject to $10 service charge per class.

Cancellations - In the event of inclement weather conditions or emergencies, call 301-330-0050, ext. 2430 for the recorded message pertaining to class cancellations. Classes held in schools will be cancelled on days schools are closed for holidays and emergencies. For Aquatic class cancellations call the Aquatic Center at 301-258-6345 or check the website at www.gaithersburgmd.gov/aquatics.

What you need to use RecXpress:
  • A Family Password and personal identification number (a unique number for each member of your family); these numbers will be assigned by the City.
  • Create a new account and receive a Personal ID Number and Family Password
  • A VISA, MasterCard or Discover; all payments must be paid by credit card or set up an account with the City.
  • Internet access.

Refund Policy:

All refund requests must be made in writing and received by the Department of Parks, Recreation and Culture, prior to the first day of the program. All written requests that are made after the first day of the program will be refunded, less a $10 administrative fee.

How do I get started?

What happens if I have trouble using the RecXpress system?

RecXpress provides simple, easy-to-follow instructions; however, if you do have any trouble, call 301-258-6350 and staff will gladly assist you.

What happens if I lose (or forget) my Family Password or Personal ID number?

Simply call the Department of Parks, Recreation and Culture offices at 301-258-6350 and a staff member will gladly look up your password and PIN.

How will I know if I am registered in a particular activity?

RecXpress will give you a confirmation number at the end of your registration. This number confirms your registration pending approval of the credit card transaction. If a problem occurs with the credit card, you will be notified within 48 hours and given another opportunity to register provided there are still openings in the program.

If I need special accommodations, can I register on RecXpress?

Yes! After receiving confirmation from RecXpress, please send your request for accommodations in writing to the Department of Parks, Recreation and Culture, 506 S. Frederick Ave., Gaithersburg MD 20877.

I forgot to enter the payment information. Is my registration complete?

No, unless you complete the payment process by entering the credit card information, your registration is not complete. Once your enter the payment information, RecXpress will give you a confirmation number. We suggest you write down this number for assurance that your registration is complete.

May I make a partial payment when using RecXpress?

No, complete payment is required for a RecXpress registration. Also, if you have an outstanding balance on your account, you must pay the entire balance when you register using RecXpress. If you have a credit (overpayment) on your account, the total due will be reduced to reflect this credit.

Will I receive confirmation by mail after I register on RecXpress?

No, please make note of the confirmation number you receive. Your name will automatically be entered on the class roster for the activity you requested, but no additional confirmation will be mailed to you.

When I register by mail, fax, or in person, I normally sign a waiver. How will this process be taken care of?

RecXpress will ask you to agree to the following statement. If you do not agree, RecXpress will end the transaction and ask you to register by mail, fax or in person. By registering through use of RecXpress, you grant permission for a family member or yourself to attend the activity sponsored by the City of Gaithersburg. You understand that you are responsible for insurance in case of injury. Furthermore, you understand that although safety precautions will be observed, the City of Gaithersburg, employees and agents will not be responsible for any personal property lost or for any injury sustained in the program. You also consent to the City's use of any photographs and/or videotapes made of the program.

I don't use credit cards, can I still use RecXpress?

Yes, prior to the registration dates, you may mail or drop by a payment and this will be credited to your family account.Then when you register using RecXpress, your account automatically will be debited.

What about security?

The City uses industry standard practices for securing our web infrastructure and transactions. Like major industry sites such as Amazon.Com, we utilize Secure Sockets Layer (SSL) to encrypt all transmissions of personal data such as your credit card number. In addition, we have used network and Internet consultants to assist us in securing our web server. Remember, if you still don't feel comfortable using your credit card over the Internet you can always add enough money to cover your registration fees onto your account in person or via mail with a credit card, cash or check.See our website for additional information on our privacy and security policies.
