No. There is no additional cost to receive a 1:1 companion through the Inclusion Program.

Please notify us as early as possible. We require at least two weeks’ notice before the start of an activity or class. This allows us to review your request, plan appropriate supports, and ensure a successful experience for your child. Late requests may limit our ability to provide accommodations.

Companions are hired specifically for the Inclusion Program. Each companion completes a thorough hiring process that includes fingerprinting and background checks. They are responsible high school and college students with an interest in supporting individuals with disabilities and receive training and ongoing support to help participants succeed in recreation settings.

All companions complete training that covers disability awareness, behavior support, communication strategies, and safety procedures.

Companions are available for all City of Gaithersburg classes and activities except for activities designed as a “parent and child” activity.

While we value the positive connection your child has built with a specific Inclusion Companion, we cannot guarantee that the same staff member will be assigned for future programs. Assignments depend on several factors, including staff availability, scheduling changes, the needs of other participants, and the requirements of specific activities. Our priority is always to ensure that every participant receives the appropriate support for a safe and successful experience.

If your child is running late or cannot attend an activity, please notify us as soon as possible by emailing the Inclusion Program Coordinator at inclusionprogram@gaithersburgmd.gov. Prompt communication helps us ensure Inclusion Companions receive timely updates.

No, the intake is usually done only once. A second intake may be required if the participant hasn’t been registered in any classes or activities for more than a year.

Partnerships with families are a vital part of the Inclusion Program. We connect with parents and guardians in several ways throughout the year:

• Intake meetings: The most important step at the start of the process. Intakes allow us to learn about your child’s needs, strengths, and goals so we can plan the best support.
• Ongoing communication: Companions are encouraged to talk with parents at pick-up or drop-off to celebrate successes or share any challenges from the day. Even a few minutes of conversation makes a big difference.
• Feedback opportunities: After each season, we send surveys to hear about your experience and gather suggestions for improvement. Families are also welcome to reach out at any time — no need to wait for a survey to share feedback, concerns, or successes.
• Yearly updates: Before summer, families may receive emails with specific program reminders and requests for updates.

Our goal is to create an ongoing partnership where families feel heard and supported. The Inclusion Coordinator’s email is always open, and we truly value your collaboration.

When a companion is assigned, the ratio is 1:1. Staffing ratios may vary for adaptive programs and community outings, and those details are always included in program descriptions.

No. Companions and program staff do not provide personal care such as bathroom assistance, diapering, or feeding.

Yes. We accept funding from programs such as the Autism Waiver, My Turn Program, and The Arc Montgomery to help cover registration fees for eligible families. Please note:

• Spaces are not reserved until third-party funding is confirmed.
• Participants are not considered registered until funding has been received.
• If families pay out-of-pocket before funding is approved, refunds may not be available.
